Why Meet links are easy to forget

Virtual scheduling has two separate steps: create the calendar event and add conferencing. If either step is manual, the workflow can break right before the meeting. The event may exist without a Meet link, or the link may be added too late for attendees to notice.

For office hours, consultations, interviews, tutoring sessions, and onboarding calls, the Meet link should be part of the event at creation time.

The form structure that works best

Start with a form that collects the meeting purpose, requester name, requester email, date, time, and notes. Use date and time question types instead of open text. If every event should use the same title prefix, use custom title text plus the requester name or meeting type.
