Setup guide

Use these steps to turn a regular form question into a managed signup sheet with choice capacities and optional waitlist requests.

  1. 1Install FormSpots from its Google Workspace Marketplace listing, or install the draft as an approved tester before publication.
  2. 2Open the Google Form you want to use as a signup sheet.
  3. 3Open the add-on sidebar and choose a signup template or select an existing question.
  4. 4Set each choice's capacity and choose whether full choices should be hidden.
  5. 5Enable waitlist requests if you want to record interest after choices fill.
  6. 6Apply the limits, then use Refresh in the Availability tab whenever you need to sync counts.
Important capacity note: Google Forms saves a response before FormSpots can update the available choices. People who load the form at the same time can still see the same final spot. Use FormSpots for ordinary signups, not reservations that require guaranteed locking.

Common issues

The add-on menu does not appear

  • Refresh the form editor page.
  • Confirm you are signed in to the account where the add-on was installed.
  • Open the puzzle-piece add-ons menu in the form editor.

Spot counts look wrong

  • Click Refresh in the Availability tab.
  • Confirm the managed signup question still exists in the form.
  • Check whether responses were deleted or edited after the last refresh.

A full option is still visible

  • Confirm Hide full choices is enabled for that signup question.
  • Click Refresh after new responses arrive.
  • Make sure the option text still matches the managed setup.

I selected the wrong template

  • Use Remove selected setup in the sidebar.
  • Choose whether to also delete the template question from the form.
  • Create or select the correct signup question and apply limits again.
